Privacy Policy

Executive Secretary (“we,” “us”) provides tools that help ward and stake leaders schedule appointments, plan activities, track assignments, and send reminders. This policy explains what personal information we collect and how we use it.

Information we collect

• Account and roster details entered by leaders: names, email addresses, phone numbers, callings, and reminder preferences.
• For youth, optional parent/guardian contact details entered by a leader so reminders can also reach a parent or guardian.
• Usage data needed to operate the service (e.g. sign-in sessions).

How we use your information

We use contact information solely to operate the service and to deliver the reminders and notifications you have asked to receive (for example, assignment reminders and council action-item digests) by email and/or text message according to each person’s chosen preference.

SMS / text message reminders

Text-message reminders are opt-in. A person receives texts only when a leader sets that person’s reminder preference to a texting option, which records their consent to receive SMS reminders. Message frequency varies with assignments and meetings. Message and data rates may apply. You can opt out at any time by replying STOP to a text, and reply HELP for assistance.

We do not sell or share your mobile information, phone number, or SMS opt-in consent with third parties or affiliates for their marketing or promotional purposes. Mobile information is used only to deliver the reminders you have opted into.

Service providers

We use third-party providers to deliver messages on our behalf — email is sent through Resend and text messages through Twilio. These providers process contact details only as needed to transmit your reminders and are not permitted to use them for their own marketing.

Data retention & deletion

Roster and contact information is retained while a unit uses the service and can be removed by a leader at any time. You can delete your account and associated data, or request deletion of specific information, by following the steps on our account & data deletion page, or by contacting us at the address below.
